Customizing emails.

Administrators can change every email Farwing Server sends. Each email has its own subject, preview text and body. One shared layout controls the logo, colors, header and footer.

Plans and Free mode

Email templates are part of custom branding in Team, Business and Enterprise. Free mode sends the built-in English wording and built-in layout. Those emails use the server name and end with Sent with Farwing.

In Free mode, Admin → Email templates is read-only. You can browse every email and preview it, but you cannot publish changes. If a license ends, custom templates and the layout stay saved but are not used. They return when you load a license that includes custom branding.

What you can change

For each email and language, you can change:

• The subject and the preview text shown by mail apps.
• The body: text, headings, lists, links, buttons, dividers and images.
• An optional plain-text version. Farwing makes one from the body when you leave it empty.
• Blocks that appear only when a value is present or a yes/no value is yes.

Variables insert real details when the email is sent. The editor shows them as named chips. Click or drag one into the email, or type its code, such as {{ package.sender.name }}. Date variables offer short, long and date-with-time formats. Size variables are written in readable units. A name falls back to the email address when no name is known. An unknown variable must be fixed before publishing.

The shared layout

The layout applies to all 19 emails. It has one logo with alt text, a brand color, a button color, optional header text, footer text and a switch that shows or hides the server address. The editor warns when white text is hard to read on the button color.

The logo can be a PNG or SVG. Email images can use that logo or an image hosted by the same Farwing Server. Outside images, scripts and forms are not allowed.

Languages

Add a language to an email by copying an existing version, then translating it. Languages are kept separately for each email.

Farwing chooses a published template in this order:

1. The recipient’s language, including its base language when needed. For example, pt-BR can use pt.
2. The server’s default language, including its base language.
3. English.

If none of those has a custom version for that email, Farwing sends the built-in English wording. Dates and sizes still use the recipient’s language and time zone when known.

Drafts, publishing and history

• Draft: changes save as a draft and survive a page reload. A draft does not change emails being sent.
• Publish: makes the draft live after checking its variables, links and required security blocks.
• Discard draft: returns the editor to the live version.
• Version history: each publish records a version, its author, time and optional note. Restoring an old version makes a new draft.
• Reset to default: makes a draft from the built-in wording or layout. Nothing changes until you publish it.

Preview and test sends

The preview can use sample data, long names and messages, or empty optional fields. You can check desktop or phone width, light or dark mode, and HTML or plain text. A test send goes to your own address through the server’s email settings and reports any relay error.

Security emails and locked blocks

Security emails carry a private link or code, or report a change to an account. Their locked blocks keep the action, code, expiry and “if this was not you” instructions in the message. You can move these blocks, and change the label on a locked action button, but you cannot remove them or rewrite their fixed safety text.

Farwing checks locked blocks on the server when you publish. A private action link or code is never allowed in the subject or preview text. These rules stop a customized email from hiding the way to complete or respond to a security action.

Every email and its variables

The tables below are the complete variable list for each email. Samples are the values shown by the editor’s sample preview.

If a custom email cannot be rendered

Farwing logs the reason and sends the built-in email instead. A broken custom template cannot stop a password reset, invitation, code or other message from going out.
